ENSA Khouribga Formation Continue (ENSAK) is the education centre of the École Nationale des Sciences Appliquées (ENSA) in Khouribga, Morocco. It specialises in professional diplomas and master’s degrees for working adults. The organisation provides a wide range of licence and master programmes—including disciplines like artificial‑intelligence engineering, software development, cybersecurity, industrial management, financial engineering and health‑information systems (ensak-formations.com). ENSA also emphasises flexible teaching modes; programmes are delivered in person, remote or hybrid, allowing professionals to study on weekends while continuing their jobs.
Admission involves an online pre‑registration form followed by pre‑selection and final admission. Although the academic offering is comprehensive, the school’s digital infrastructure prior to this project was rudimentary; prospective students were unaware of programmes, and administrative tasks such as form submission, appointment scheduling and onboarding were manual and inefficient.
ENSAK needed to modernise its digital presence to remain competitive and to provide a seamless experience for prospective students. The organisation faced several pain points:

Important information (teaching modes, FAQ and contact details) was hidden or inaccessible, limiting the centre’s ability to attract new applicants.
Manual pre‑registration and onboarding: Staff manually processed application forms and compiled data, leading to delays and errors. Applicants lacked an easy way to submit their information or schedule orientation appointments.
Inefficient appointment scheduling: Advisers had to coordinate appointment times via phone or email; there was no online system for booking consultations.
Fragmented marketing and data systems: Leads from advertising campaigns were difficult to track. Data was scattered across email inboxes and spreadsheets, making it challenging to follow up effectively.
Exponify’s goal was to help ENSAK:

Exponify designed and built a modern website for ENSA (https://ensak‑formations.com). The homepage features a prominent call to action—“Inscriptions ouvertes 2025/2026” (Registrations open 2025/2026) with a “Inscrivez‑vous” button—paired with a succinct tagline highlighting that courses take place on weekends and can be taken on campus or online. The site explains ENSAK’s mission and lists each licence and master programme with bullet‑point highlights. It also outlines the teaching modes (présentiel, à distance and hybride), includes a section titled “COMMENT ÊTRE ADMIS ?” explaining that the first admission step is completing the online registration form and provides a FAQ and contact details.
Within the “Inscription” page, the website hosts a custom pre‑registration form where applicants provide their name, email, phone number and choose a desired programme. The site emphasises that filling out this online form is the first step of admission. To avoid manual data handling, Exponify configured the form to send submissions to Google Sheets, which served as a centralised database for prospective students. Google Sheets was chosen because it is cloud‑based and supports real‑time collaboration—multiple team members can work on the same spreadsheet simultaneously. Sheets automatically saves changes in the cloud, ensuring that data is always accessible from any device and maintains a version history so staff can track changes and revert if necessary. The spreadsheet can be shared with different permission levels (view, comment or edit), making it easy to control access. These features allowed admissions staff to manage applications collaboratively and securely.
To connect the website form with other systems, Exponify used Zapier, an automation platform that acts as an AI‑orchestration layer. Zapier offers no‑, low‑ and full‑code tools that combine workflows, databases and interfaces, and provides a library of over 8,000 app integrations. In Zapier, automated workflows called Zaps are composed of a trigger (e.g., a new form submission) and one or more actions (e.g., adding a row to Google Sheets or sending an email); once published, a Zap runs the action steps whenever the trigger occurs. Exponify set up Zaps to automatically create or update records in the Google Sheets database, send confirmation emails to applicants and notify internal teams when new prospects registered. This eliminated manual data entry and ensured that all leads were captured and nurtured consistently.
A key requirement was to give prospective students the ability to schedule orientation or consultation calls with ENSAK staff.
